Add and Edit Events

Add an Event
 

To create a new event, in the Events calendar, we need to choose the Events module, from the menu. We will then see all the events, which have already been created.

If we have multiple locations, we can choose to view events for a specific location, using the Location Selector, at the top right.

To create an event, click the green plus icon, at the top right of the date we want to add the event. Select the location, at which the event will take place. If we only have one location, we will not see this option.

Next, enter the Event Name. If this is an event we have held before, select the event from the dropdown menu. If it’s a brand new event, we can click the New Event button, and enter the event name in the text box.

If we want this event to be a repeating event, then we will need to click on the New Event button.

We’re able to add a description for our event, in the Event Description box. This can be used to give any additional detail, about the event, that people may need to know.

The Event View, allows us to set the event as Public, Private, or Rota Only. Events set as Public, will appear on the Dashboard, which anyone with an iKnow log in can see. Private events will only appear on the Dashboard of people invited to the event, and Rota Only events will appear under Rotas, on the Dashboard of those who are on the rota.

If we need to change the date, we can do this in the Date field and we can add a Start and End Time, for our event.

If the event is a repeating event, we will need to tick the Repeat Event checkbox. We can then choose whether the event will repeat Daily, Weekly, or Monthly, or we can set a Custom repeat. We can then set the frequency with which the event will repeat, and choose whether the event will run indefinitely, have a set number of repeats, or end on a specified date

Once we have completed this section, we can click Save. We will then be able to see the event in our calendar.


Edit an Event
 

To edit an event in the calendar, we need to click on the event we wish to edit. On the right-hand side, we have the option to view, edit, or delete the event. To edit the event, we need to click the pencil icon.

To extend a repeating event, click on the last event in the series. Editing this event will give us the option to extend the event, by ticking the Extend Event checkbox.

Once we have made our changes, click Save.


Delete an Event
 

To delete an event from the calendar, we need to click the event we wish to delete, and click the red bin icon, on the right hand side. If the event is part of a series, we will have the option to delete, just the event we have clicked on, all future events in the series, or the entire series. Any rotas, plans, invite lists, or metrics associated with the event, will also be deleted.
